Zoho CRM vs Salesforce: the five-seat bill, the admin question and the move between them

Published Oct 26, 2026

Zoho CRM and Salesforce sit at opposite ends of the per-seat price range, and the gap is wide enough to decide the question for most small teams on its own. On the price lists checked on 18 October 2026, Zoho CRM Professional is $23 a user a month and Salesforce's Pro Suite is $100. What the extra money buys at Salesforce is a platform that can be shaped to almost any process, and what it usually costs on top is an administrator. For a team of five to twenty without one, Zoho is the better buy. For an organisation that will configure the CRM heavily and has, or will hire, the person to do it, Salesforce earns its price.

For anyone already on Salesforce, there is a second reason to look at Zoho: it publishes a dedicated Salesforce migration wizard, documented in detail. That is where this switching site spends most of its words. Neither vendor pays this site for Salesforce; Salesforce runs no publisher programme, and Zoho is a partner.

The short answer by team size

  • Five people, no dedicated administrator: Zoho CRM Standard or Professional.
  • Twenty people with one process and a sales manager who runs the system: Zoho CRM Professional or Enterprise.
  • Any size, with complex objects, approvals and integrations, and a named administrator: Salesforce.
  • Already on Salesforce and paying for editions you do not configure: price the move to Zoho, because the wizard makes it cheaper than most switches.

Equivalent editions, priced

Zoho CRM and Salesforce Sales Cloud, USD per user per month, from the two price lists on 18 October 2026. Tiers are paired by position in each range, not by identical features.

Zoho's pricing page displayed $14, $23 and $40 for Standard, Professional and Enterprise on the day; those match the annual figures this site recorded in September, and the monthly view sat behind a switch this text read could not operate, so monthly Zoho prices are not quoted here. Salesforce prints Starter Suite at the same $25 whether billed monthly or annually, and every edition from Pro Suite up as billed annually. Salesforce's Core column also lists Premier Success, and its Web Services API is an extra $25 a user a month on one of the lower editions, so read the comparison table rather than the card if integrations matter.

The five- and twenty-seat bill

Multiply the per-user prices by seats and twelve months and the difference stops being abstract:

  • Five users, a year: Zoho Standard $840, Zoho Professional $1,380, Zoho Enterprise $2,400; Salesforce Starter Suite $1,500, Pro Suite $6,000, Core $11,700.
  • Twenty users, a year: Zoho Standard $3,360, Zoho Professional $5,520, Zoho Enterprise $9,600; Salesforce Starter Suite $6,000, Pro Suite $24,000, Core $46,800.

At the middle of each range, twenty Pro Suite users cost $18,480 a year more than twenty on Zoho Professional. That is roughly the order of a part-time administrator or a consulting retainer, which is the honest way to think about it: the Salesforce premium buys configurability, and configurability needs someone to configure it. Neither figure includes partner implementation, which both vendors' customers often buy.

The admin question

Salesforce is a platform as much as a CRM. Its strength, objects and automation you can shape to almost any process, is also why most Salesforce customers of any size have a named administrator, in-house or contracted. The setup decisions that a smaller CRM makes for you are yours to make, and someone has to keep making them as the business changes.

Zoho CRM sits closer to the other end. It is configurable, with custom modules from Standard upwards according to its pricing page, but it is designed to be run by the sales manager or an operations generalist rather than a specialist. Zoho's pricing page lists free onboarding, and its FAQ describes paid end-to-end services for teams that want them, without printing a price.

The practical test is simple. If no one on your team wants to own the CRM's configuration as part of their job, Salesforce will either cost you a hire or a consultant, or drift. Zoho is more forgiving of that gap.

Moving from Salesforce to Zoho CRM

This is the direction Zoho has built for. Its help centre has a dedicated "Migrating from Salesforce to Zoho CRM" article, and the wizard sits under Setup, Data Administration, Import, where an administrator chooses Salesforce as the source.

What you upload is a Salesforce data backup: a zip of CSV files plus a folder named Attachments, with a CSV that maps attachments to their records. Zoho reads the files and maps them to modules itself. It names 19 supported Salesforce modules, running from Users, Leads and Accounts through Notes, Activities and Attachments to Quotes, Invoices and Price Books. Custom objects arrive as files ending in "_c", which you map to new or existing modules.

The same article lists the catches, and they are the useful part:

  • Extra folders in the zip, which re-compressing an extracted backup can create, may make the upload fail.
  • The wizard will not create Autonumber or Formula fields; rebuild those afterwards.
  • Only the first ten tags on a record migrate, and each tag can be at most 25 characters.
  • A module with over 5,000 skipped records halts the run until you choose to carry on or throw the migration away.
  • A finished migration can be undone from Import History, which makes a trial run cheap.

Getting the backup out of Salesforce is the slow end of this move. Salesforce's own export service, its cadence and its collection window are covered in the HubSpot vs Salesforce note and on the Salesforce alternatives page; plan around them before you give notice.

Moving from Zoho CRM to Salesforce

Going the other way, Zoho's export article sets the pace. You can export a module as CSV, up to 200,000 records in one go, or as XLSX, up to 50,000; each download link lasts seven days and arrives as a zip. The daily export allowance rises with the edition: Free allows 10, Standard 100, Professional 250, Enterprise 500 and Ultimate 1,000.

Salesforce's own import documentation could not be read for this article: its help centre returned only a loading shell to the text reader used here. Salesforce's standard import tools are its Data Import Wizard and Data Loader; check their current limits on help.salesforce.com before planning a large file, and treat any ceiling quoted elsewhere without a date as unconfirmed.

The harder work is structural. Zoho modules and Salesforce objects do not map one to one, and anything you built in Zoho's custom modules has to be designed as a custom object in Salesforce first. Do that design with whoever will administer Salesforce, because they will live with it.

What does not move in either direction

Both migrations carry records well and configuration badly. Workflow rules, approval processes, validation rules, page layouts, report definitions and dashboards are rebuilt by hand on the receiving side, whichever way you go. Email templates and sequences usually are too. Integrations have to be reconnected, and anything that wrote to the old CRM through its API needs pointing at the new one.

So list what the current system does before you export a single record: every automation that fires, every report someone reads on Monday, every system that sends it data. That list, not the record count, is the real size of the project, and it is the document to hand to a partner if you use one.

Edge cases

A team of three or fewer. Zoho's free edition covers 3 users. Salesforce lists a Free Suite at $0 a user a month on its pricing page; compare what each free tier includes before choosing either on price.

Zoho already runs your finance or helpdesk. Moving the CRM to Salesforce separates it from the rest of the Zoho suite, and the integrations you lose are a cost even if the seat price is not.

A Salesforce org with heavy custom code. Zoho's wizard moves data, not Apex code, flows or page layouts. Those are rebuilt, and some will not have an equivalent.

Zoho and Salesforce are two of the names in this site's wider field; the HubSpot alternatives comparison puts the CRMs that publish their numbers in one table, with prices at both billing terms, free tiers and import ceilings.

Zoho CRM vs Salesforce questions

Is Zoho CRM cheaper than Salesforce?
Yes, by a wide margin at every tier. On 18 October 2026 Zoho CRM Professional was $23 a user a month and Salesforce Pro Suite $100, billed annually. Twenty users on each come to $5,520 and $24,000 a year respectively.
Can Zoho CRM import my Salesforce data?
Yes. Zoho's Salesforce migration wizard takes a Salesforce data backup (a zip of CSV files plus an Attachments folder) and maps 19 Salesforce modules, including Notes, Activities and Attachments. Custom objects arrive as '_c' files you map yourself, and Autonumber and Formula fields must be rebuilt.
Do I need a Salesforce administrator?
For anything beyond a small, lightly configured org, usually yes, in-house or contracted. Salesforce's flexibility is its strength, and someone has to own its configuration. Zoho CRM is designed to be run by a sales manager or operations generalist.
How much does it cost to export data from Zoho CRM?
Nothing extra, but it is rationed. Zoho's export article allows up to 200,000 records per module in one CSV export and 50,000 in XLSX, with a seven-day download link, and between 10 and 1,000 exports a day depending on edition.
Which is better for a small business, Zoho or Salesforce?
For most small businesses without an administrator, Zoho CRM: it is cheaper per user, simpler to run and has a free edition for 3 users. Salesforce suits organisations that will invest in configuring it, and its Starter Suite at $25 a user is its entry point.
